Concept Project
MediFlow is a concept healthcare SaaS product designed and built end-to-end by NexM — from product strategy and UX to a fully interactive frontend prototype. AI is woven directly into scheduling and clinic operations to help front-desk staff book faster, reduce no-shows, and keep every provider's day running on time — not bolted on as a separate assistant.

The Problem
Clinics run on scheduling, and scheduling is still mostly manual
Most clinics juggle phone-based booking, paper or spreadsheet waitlists, and disconnected tools to track patients, providers, and no-shows — and it shows up as lost time and lost revenue.
Booking still runs through the phone
Patients call in, staff manually check provider calendars, and a single double-booked slot means a scramble to fix it before the day starts.
No-shows go unmanaged
Without a clear view of who's at risk of missing an appointment, staff can't intervene until an empty slot is already wasted.
Waitlists live on sticky notes
When a slot opens up, matching it to the right waiting patient is a manual, error-prone process that eats staff time.
Patient history is scattered
Insurance details, visit history, and notes live across different systems, so staff piece together context before every call.
Provider schedules are hard to balance
One provider is overbooked while another has open slots, and there's no easy way to see it and rebalance in the moment.
Managers fly blind on clinic performance
Wait times, cancellation rates, and utilization are rarely tracked in one place, so problems surface only after patients complain.
Our Solution
One workspace, where AI clears the busywork instead of adding to it
MediFlow combines appointment scheduling, calendar management, patient and provider records, waitlist automation, and clinic analytics into a single connected workspace — instead of stitching together a phone system, a spreadsheet, and a separate EHR. Every screen is built around one idea: give staff the next best action right where they're already working.
Every appointment, one connected calendar
Day, week, month, and per-provider views stay in sync, so a change in one place updates everywhere instantly.
AI flags no-show risk before it happens
Appointments likely to be missed are surfaced automatically, so staff can call ahead or offer the slot to someone on the waitlist.
Waitlist slots fill themselves
When an opening appears, MediFlow suggests the best-matched waiting patient instead of leaving staff to guess.
A single record for every patient
Visit history, insurance, and communications live in one profile, so staff never start a call from zero.
Clinic performance, always visible
Wait times, utilization, and cancellation trends are visible at a glance, not buried in an end-of-month report.
Product Walkthrough
A tour of the workspace
Ten connected screens, each designed around a single question: what does this coordinator need to see right now?

Dashboard
A single view of today's appointments, check-ins, available slots, and what needs attention — instead of five separate reports.
An AI daily summary highlights no-show risk, provider load, and open slots worth filling before the day gets busy.
Staff start the day knowing exactly where to look first.

Appointments
Every booking across the clinic in one searchable, sortable list, with status and provider visible at a glance.
No-show risk is scored automatically, so at-risk appointments surface without manual review.
Nothing gets double-booked or lost in a busy queue.

Calendar
Day, week, month, and per-provider views of the full schedule, color-coded by visit type.
Conflicts and gaps are visually obvious the moment a new booking is dropped in.
Rescheduling takes a drag, not a phone call.

Patients
A searchable directory of every patient, with risk level, next appointment, and assigned provider visible in the list.
No-show risk and inactivity are flagged directly in the row, not buried in a profile.
Staff know who needs outreach before they open a single record.

Providers
Every provider's workload, specialty, and availability status in one glance-able grid.
Workload bars make it obvious who's overbooked and who has room today.
Rebalancing a day's schedule takes seconds, not a group chat.

Waitlist
Patients waiting for an earlier slot, ranked by priority and matched against real-time openings.
MediFlow suggests the best-matched patient the moment a cancellation creates an opening.
Cancelled slots get filled in minutes, not left empty.

AI Assistant
A dedicated space to ask about today's schedule, risk patients, or provider availability in plain language.
Answers are grounded in the clinic's real data for that day — not generic scheduling advice.
Staff get a second set of hands for the questions that used to mean pulling up three screens.

Reports
Appointment volume, no-show rate, provider utilization, and booking trends, visualized for a weekly review.
Trends are broken down by provider and visit type, so managers see exactly where time is being lost.
Coaching and staffing decisions start from data, not from a feeling.

Notifications
A single feed of what actually needs attention — cancellations, risk flags, waitlist matches — ranked by urgency.
Signals are ranked by how much they affect today's schedule, not just when they arrived.
An urgent cancellation doesn't get lost behind ten routine updates.

Settings
Clinic hours, appointment types, provider roster, and notification preferences — the everyday admin a practice manager actually touches.
Teams configure their own workspace without waiting on IT.
AI Throughout the Workflow
AI built into the workflow
MediFlow doesn't bolt on a chatbot. Every AI feature is embedded exactly where staff are already working.

AI No-Show Risk Scoring
- Problem
- Staff can't tell which of today's appointments are actually at risk of being missed until the slot is already empty.
- Solution
- Each appointment is scored using visit history and patterns, and at-risk bookings are flagged directly on the schedule.
- Business Impact
- Fewer empty slots and less last-minute revenue lost.

AI Waitlist Matching
- Problem
- Matching a cancellation to the right waiting patient is a manual, time-consuming lookup.
- Solution
- MediFlow suggests the best-matched waitlisted patient the moment a slot opens, based on urgency and availability.
- Business Impact
- Cancelled slots get refilled in minutes, not days.

AI Provider Load Balancing
- Problem
- It's hard to see which providers are overbooked and which have room until the day is already underway.
- Solution
- Workload is visualized in real time, and new bookings are suggested toward providers with capacity.
- Business Impact
- A more even day for every provider, and shorter patient waits.

AI Daily Summary
- Problem
- Managers start the day without a clear read on what actually needs attention.
- Solution
- A concise summary of risk patients, open slots, and provider load appears each morning.
- Business Impact
- Staff triage the day in seconds, not after checking five screens.

AI Assistant Q&A
- Problem
- Simple scheduling questions — who's free, what's overdue — mean digging through multiple screens.
- Solution
- Staff can ask in plain language and get an answer grounded in that day's real clinic data.
- Business Impact
- Faster answers without interrupting whoever's busiest.

AI Follow-up Detection
- Problem
- Patients due for a follow-up visit can fall through the cracks once their last appointment is closed out.
- Solution
- MediFlow flags patients who are due or overdue for a recommended follow-up.
- Business Impact
- Fewer missed continuity-of-care visits.

AI Conflict Detection
- Problem
- Double-bookings and room conflicts are usually caught by accident, not by design.
- Solution
- Scheduling conflicts are flagged the moment they're created, before they reach the patient.
- Business Impact
- Fewer scheduling errors reaching the front desk — or the patient.

Concept Project
A concept product, built like a real one
MediFlow is a concept product created by NexM. It doesn't have a live backend, a production database, or real patients — but every appointment, AI-assisted workflow, and screen was designed and built the way a real healthcare product team would build it. This concept project demonstrates NexM's UI/UX design, frontend development, and healthcare SaaS product-building capability.
